Client Services Manager open within a Financial Planning and Mortgage Broking Wealth Group.

Rubix Solutions has partnered with a reputable Wealth Group headquartered in Melbourne but operating Australia-wide and in the Phillipines. Their services cover Superannuation, Home Loans, Business Solutions, Savings, Retirement, Estate Planning and more.

They're looking to bring on a Client Services Manager with a minimum of 3 years' experience in the financial planning industry in a similar role. 

Major Responsibilities:
1. Managing Staff (Australia and Phillipines)
  • Ongoing training, development and management of the administration team situated here in Australia and in the Philippines
  • Allocating work, ensuring all new business is being lodged correctly
  • Monitoring the workflow of overseas staff, ensuring all processes are followed and tasks are actioned
  • Ensuring the operations team are accountable for their work and time
  • Responding to queries, requests
  • Creating a positive, inspiring place to work in - open communication is a must
  • Assisting Practice Manager to recruit new team members
  • Resolve issues or conflicts
  • Monitor team performance and recognise excellence

2. New Business
  • Lodge new business applications (superannuation, retirement, insurance etc.) as per company standards
  • Ensure clients' files (documents) and profiles are managed by the operations team and updated accordingly
  • Undertake a final audit of all client files to ensure compliancy
  • Ensure all compliance notes and file notes are in line with AMP FP audit and compliance standards
  • Make sure all ongoing client service enquiries are addressed (i.e. action is taken and/or forwarded to the concerned advisors) - KPIs can be given for further clarifications

3. Assist Managing Director and Practice Manager (ad-hoc basis)

Knowledge and Experience:
  • 3-5 years in the financial planning industry (in a similar role)
  • Experience leading and coaching a team
  • Knowledge of AMP systems (desirable)
  • Strong communication skills - verbal and written
  • Relationship Building
  • Capacity to learn
  • Personal presentation - appearance and behaviour are of huge importance
  • Computer skills (experience using Worksorted, Salesforce, Office 365)
