Our Client is a highly regarded fund manager looking for an executive team assistant to support the Sydney office with a range of administrative duties. This person will report directly into the managing director of the firm and is a highly Autonomous position. 

The Sydney office currently has 16 people and is growing quite rapidly. The ideal person will be used to working in an entrepreneurial and fast-paced environment. The role is for someone who is reliable, has an exceptional level of attention to detail, and is able and willing to take tasks on themselves and follow through to completion. 

Responsibilities 

  • Responsible for the day to day office operations, answer and manage the phones/incoming calls
  • Arranging and co-coordinating meetings and events and distributing mail
  • Process expenses and invoices 
  • Maintain complex and detailed calendars 
  • Coordinate and prepare materials for board meetings
  • Assist with sales presentations 
  • Co-ordinate domestic and international travel 
  • Maintain office supplies and Inventory 
  • Assist with printing and binding of marketing presentations 
  • Help maintain office efficiency by pro-actively looks for ways to improve existing processes and procedures 
Experience/Skills Required 

  • 2 – 3 years EA/Senior Administrative Assistant in a corporate environment
  • University qualification (desirable not essential)
  • Self-directed and able to perform assignments independently; demonstrates pro-active approach and is flexible with change.
  • Strong communication skills: verbal, listening, and written; ability to work effectively and communicate with a global/virtual team.
  • Intermediate to advanced skill level in Microsoft Outlook, Word, Excel & PowerPoint. Experience with Concur & Salesforce.
