Job Title: Office Administrator Customer Services / Supply Chain Assistant /
Salary Range: €25 to €30k per annum
Hours: 9am – 5pm Monday to Friday – 45 mins lunch – 25 days paid holiday PA
Qualifications: Experience with MS Office / Other Accounts management software
Excellent Communication Skills – written and spoken
Language – German or other EU languages a benefit
Job Description
  • Daily Administrative Support
    1. Phone and Email support
      • Customer Inquiries and orders
      • Follow-up on open orders / invoices (collections)
      • General reception
    1. Post management
    2. Filing and Process Documentation
    3. Meeting Preparation
    4. Assist with Sales Team requests
  • Data Entry into Accounts based software – SAP / Netsuite
    1. Customer Information (including terms, pricing, and contact)
    2. Payable Invoices
    3. Customer Orders
    4. Payment Receipts
  • Order to Despatch
    1. Working with associated distribution centres (UK / EU) to ensure delivery time slots are adhered to
    2. Dealing with customer delivery requirements
  • Export Orders
    1. Preparing customer orders and associated Administration – Shipping Documents
    2. Liaising with UK and USA teams to coordinate order processing and dispatches
  • Supply Chain
  1. Assist in forecast Planning
  2. Expediate purchase orders / monitor suppliers and due dates against demand   
  3. Item creation and updating on accounts package
  4. Filing receipt of goods against purchase order collation of documents for shipping
