The Role
The APS5 Executive Assistant (EA) position reports to a Assistant Secretary the a Division. You will work under general direction and be responsible for the delivery of timely, efficient, effective and friendly high-level administration and executive support. You will manage front-of-office functions in a complex and high-volume environment, including managing diaries, workflow, appointments and correspondence, organising events, coordinating travel and collating documentation. You will also work collaboratively with the Executive Officer (EO) other EAs to ensure the provision of high-level administration and executive support across the Division. This is a position of trust that requires sound judgement and exemplary levels of personal integrity, sensitivity, confidentiality, and discretion.

Specific responsibilities can be quite broad but generally speaking you will be expected to:
  • Work with the EO to provide coordinated, highly professional support to the SES and Division
  • Be the first point of contact including greeting visitors, receiving and responding to phone calls, emails and correspondence and ensuring a high level of customer service to all parties
  • Diary management including prioritising the SES’s time and drawing attention to matters of priority
  • Assessing, prioritising and delegating correspondence within the division to ensure timely and effective business operations
  • Coordinating meetings with all stakeholders and ensuring the SES has all required information for meetings
  • Drafting and responding to less complex correspondence on behalf of the SESB2 and assisting with preparation of more complex documentation (e.g., submissions, briefs, reports, and other correspondence) in accordance with departmental guidelines.
  • Providing advice, organising, scheduling, and coordinating travel, accommodation and supporting documentation for the SES
  • Undertaking research and analysis for the SES

The Person
The ideal person will be proactive, dynamic, adaptable, very organised and discreet when working with confidential and sensitive business matters.  Strong customer service applied across the team and outside stakeholders is key as well as demonstrated experience solving problems and using your initiative. 

  
Skills & Experience
The successful applicant will be an experienced Executive Assistant who has:
  • Proven experience in an Executive Assistant role from a government or commercial environment
  • Ability to use and develop responsive and effective systems that facilitate the achievement of goals and objectives for your Executive, the Branch and wider Department
  • Excellent communication skills and confidence to liaise at all levels of the organisation
  • Experience managing multiple tasks with competing deadlines
  
You must be an Australian Citizen to be considered for opportunities in the federal government.  A baseline security clearance is mandatory for this role – NV1 will be highly regarded.
