Monash Surgical Private Hospital is a 28-bed day surgery clinic specialising in gynaecological surgery and IVF treatment with state of the art facilities.  It has an established reputation in the community for its high standard of patient care, its commitment to customer service and high levels of staff satisfaction and quality improvement.
The Role
This is an exciting opportunity for an experienced Patient Services Officer to join their friendly, hardworking and supportive team who is capable of multitasking, working in a fast-paced environment and putting patients at ease upon their arrival to the hospital.  You will be highly organised, have excellent attention to detail, work well under pressure and have the ability to provide excellent customer service to patients, staff and doctors.  You must be efficient, resilient and empathetic to patients at all times.  Flexibility to work a rotating roster and cover shifts for leave is essential between the hours of 7am to 5pm from Monday to Friday.  This is a permanent part time position which requires you to work 3 days per week (including one Saturday per month which attracts a penalty rate). 
Key Responsibilities
  • Reception duties including answering the telephone, sorting the mail and greeting patients
  • Contacting patients the day before admission regarding theatre times, hospital costs and admission checklist
  • Complying with COVID-19 policy and procedures relating to patient pre-admission screening and COVID testing, patient screening on the day of admission and PPE requirements
  • Completing health fund eligibility checks and contacting the funds if required
  • Preparing patient histories for the next theatre lists and ensuring the list is entered into the system and written up in the manual diary
  • Finalising the theatre list and liaising with the doctors’ rooms if need be
  • Admitting patients for their procedure ensuring all paperwork is completed accurately and applicable payments are processed
  • Ensuring accurate and timely data entry into the patient management system (Medical Wizard)
  • Completing the patient discharge information on the system and generating the invoice and claim form if insured
  • Attending to any queries that are directed to patient services
  • Additional administrative duties as requested
Skills and Attributes
  • Previous experience working as a Receptionist/Patient Services Officer in a hospital is essential
  • Ideally you will have worked in a Day Surgery Clinic with multiple theatre lists on the one day
  • Exposure to the patient medical system Medical Wizard would be advantageous
  • A strong knowledge of health fund arrangements would be highly desirable
  • Professional presentation with a strong focus on providing excellent customer service to the patients and their families
  • Excellent communication skills coupled with an outstanding telephone manner
  • Advanced prioritising, organisational and time management skills
  • Strong administrative skills and proficiency in MS Office
  • Extremely accurate, strong attention to detail and the ability to pick up any errors immediately
  • Ability to work autonomously in a self-directed environment as well as being a great team player
  • Enjoys working in a dynamic and fast-paced working environment and willing to learn new skills
  • Enthusiastic, friendly, empathetic, approachable and a positive ‘can-do’ attitude
In essence, you will have strong patient service experience, take pride in your work and have strong attention to detail and accuracy skills.  You will be highly organised, have the ability to prioritise your workload and be an excellent team player.
