We have an exciting opportunity for an advanced administrator to establish themselves within the role as the Team Administration Support.

Our client was established in 2012 to enable Aboriginal communities and families unlock their own children’s potential through tailored sporting programs that follow the whole of child life cycle from birth to adulthood. A new and exciting opportunity has become available for a Team Administration support, they are looking for someone that has a proactive and positive mindset with distinct aptitude for innovating ideas and solutions. Your responsibilities would be working closely with the Development & People Lead, the Team Administration Support is the first point of contact for all the different stakeholders and is responsible for providing high-quality customer service and comprehensive daily administrative and office support. Assisting the team to build and access best practice processes and platforms, your role is an end to end delivery of administrative, research, logistics and fundraising support to the business.
  
Key Duties:
  • Establishing, updating and maintaining project spreadsheets, records and databases,complying with administrative systems and processes.
  • Answer phones calls and email enquiries.
  • Attending meetings, taking minutes and provide action points to relevant staff.
  • Providing a high level of customer service and support to all internal and external stakeholders.
  • Assisting the team in the co-ordination of project-specific deliverables.
  • Assisting with the drafting, formatting and proof-reading of collateral.
  • Administer corporate documents, records, and report ensuring accuracy and attention to detail.
  • Coordinate meeting requests, research and prepare collateral prior to the meetings.
  • Efficiently manage and structure files of all collateral on central server.
  • Liaise with suppliers for costing, quoting and delivery to budget.
  • Book travel; prepare itineraries and overall logistical requirements.
  • Ad hoc duties as required.
  
To be successful for this role you will require:
  • A minimum of four years administrative background with excellent organisational skills in the coordination of multiple deliverables with competing deadlines.
  • Systems–orientated with advanced proficiency in MS Office suite on Mac platform and online project management tools (Asana, Google Docs, Smartsheet).
  • Attention to detail, well developed prioritisation and organisational skills with the ability to multitask and meet deadlines.
  • Highly developed customer service skills and experience dealing with various stakeholders.
  • Ability to work cohesively within a small team environment.
  • A current driver's licence.
  • Legal right to work in Australia.
