Our client is a well regarded and long-established educational institution in Melbourne's CBD. They are currently seeking a motivated and professional Resource Coordinator to join their organisation.

Role Purpose:
The incumbent of this role is required to effectively co-ordinate day-to-day resourcing workflow as it comes through to the team. As a Resource Coordinator, you are required to schedule programs and appropriately allocate existing resources across all the organisation brands (both for public and in-house programs). This position is also responsible for collecting and disseminating relevant information about newly scheduled programs to key stakeholders across the organisation as well as undertaking ongoing maintenance/updates to the schedule.

As a Resource Coordinator, you will:
  • Schedule and disseminate public and in-house program dates (for both national and international programs)
  • Obtain the relevant and required information from stakeholders to schedule and disseminate in-house program dates
  • Enter program schedules into the Company Database (FileMaker), Company Calendars and Faculty Outlook Calendars
  • Select suitable program facilitators based on a variety of factors such as location, ability and experience
  • Ensure all companies confirmed scheduled components are allocated (to suitable faculty)
  • Disseminate information about new programs to a range of stakeholder across the organisation
  • Update Program Templates to ensure alignment across company platforms
  • Provide facilitator schedules and update schedule changes
  • Monitor full-time faculty utilisation and maintain the recommended utilisation levels (where possible)
  • Run reports from the Company Database
  • Respond to Associate queries
  • Liaise with external clients
  • Source suitable program venues based on program requirements
  • Check program data availability and obtain/review/file individual program venue agreements
  • Assist with processes and setup of database
  • Other Ad-hoc duties as required
To be successful in this role, you will have:
  • Undergraduate degree with subsequent relevant knowledge, training and/or experience. 
  • Experience working in a complex resourcing/timetabling department
  • Demonstrated ability to gain a conceptual understanding of policies, procedures and systems and interpretation in the application of policy and/or precedent
  • High level of proficiency in computer software packages, including word processing, spreadsheets and databases
  • Ability to innovate and take responsibility for outcomes
  • Demonstrated ability to set priorities and monitor workflows within own area of responsibility
  • Proven analytical and problem-solving capability
  • Proven communication and interpersonal skills
A high level of attention to detail is essential to operate successfully in this position.
Highly Desirable:
This is a critical position within their organisation, and you need to be a lateral thinker with an extremely high level of attention to detail. An HR background would also be helpful (not essential).
What is on offer for you:
  • The position is a 7-month fixed-term contract, commencing between the Monday 11th January 2021 and the 22nd January 2021, the end date of the fixed term contract will be 27th August 2021
  • Full-time, working 5 days per week (Monday to Friday, 9 am to 5 pm)
  • Salary will be $70,000 + super
  • Work from home option currently in place (during COVID-19)
