About the Client:
Our Defence client has multiple roles to fill at the APS5 and APS6 level for Project Administration professionals for an immediate start. Minimum baseline security clearance, NV1 clearance would be an advantage.
About the role:
Working in an IT Project Management Office (PMO), you will be required to provide administration and board support to the Project Management Team and the Project Board. 

  • Collect and collate data in response to requests for information;
  • Schedule and invite attendees to meetings, including Branch/Program Governance Boards;
  • Collate data and produce standardised reports for meetings;
  • Send papers for meetings/boards to attendees (printing packs, if requested);
  • Take detailed minutes of board meetings and provide input as required; and
  • Circulate minutes of meetings to key stakeholders within required timeframes (generally within two days of the meeting being held).
The Project Administration Officers will work in small team, but often be co-located within the Branch areas, and will be required to work closely with the PMO and Branch teams to help improve data collection and reporting processes.

About you:

  • Highly organised admin professional with Board Secretariat experience
  • Experienced detailed minute taking to a board is an essential element to this role
  • Excellent Excel and PowerPoint experience essential
  • Excellent communication skills with the ability to build strong stakeholder engagement and relationships
  • Ability to manage conflicting priorities and meet strict deadlines
  • Remain professional during your engagement with Branch members, including during periods of heightened activity
  • Experience with scheduling, minute taking and reporting on monthly Board meetings
