The role

Working to support two small businesses under the same Director this part-time Office Manager position will be key in contributing to the continuous growth ambitions that have been set out. This role will involve elements of accounts, administration, and marketing with enough variety to keep you challenged and engaged. The businesses are small and there will often be times where you may be the only person in the office so your ability to work efficiently and autonomously will be key to your success.
Responsibilities will include:
  • Provide administration support to the Directors including meeting coordination, and client liaison  
  • Marketing including social media management, website maintenance, and client marketing emails 
  • Manage and respond to all client inquiries, including preparing quotes and pricing
  • Organising contracts for clients
  • Prepare client invoices, enter into Xero, and chase up overdue payments
  • Reconciling accounts in Xero
  • Maintain client database
  • Creating presentations
  • Management and ordering of office stationery and office stock supplies 
Your background

As part of your role involves dealing with lending and anti-money laundering requirements a high degree of accuracy and confidentiality is required in this role. We want to hear about your attention to detail and reliability. In saying that, this is not a corporate environment, more a relaxed entrepreneurial one so you don’t need to be suited and booted when you come to work (although if you want to be that’s fine).

Ideally, you will have 5+ years’ experience working as an Office Manager or as an EA, and it would be great (although not essential) if you’ve worked in small businesses in the past. We’re looking for someone who has experience managing accounts via Xero or an equivalent package and who also knows how to pull together presentations and manage company social media accounts.
Personality-wise you’ll be relaxed yet efficient, someone who enjoys variety in their role, hates office politics, and is happy to roll up your sleeves and get stuck in to help out where needed.
  
The businesses

These businesses are in quite different industries and reflect the overall diversity of the Director’s business interests. One of the businesses involves finance and anti-money laundering and the other is property focused. The Directors are relaxed and collaborative allowing you to work in a hands off yet supportive office environment.
  
The hours

This role is 20 hours a week ideally spread evenly over Monday – Friday. There is some room for negotiation on the way these hours are spread however the preference is that you are in the office every day.
