Toyota Finance Australia has an opportunity for an experienced Receptionist to support our Head Office at St Leonards.

  • Immediate start position
  • 12-month fixed term contract
  • Flexible work arrangement split between home and office

Reporting to the Facilities and Administration Manager, your responsibilities will include:
  
  • Provide customer service to fellow employees and guests to ensure smooth running of front desk and office operations (onsite and remotely)
  • Accurately track, manage data and process payment of invoices
  • Manage phone system and first point of contact for inbound phone calls
  • Handling internal and external phone and email inquiries
  • Processing mail (inbound and outbound)
  • Organising and recording courier deliveries (Inbound and outbound)
  • Managing catering requests
  • Organising and tracking security passes
  • Meet and greet visitors in a professional manner and arrange contractor inductions where necessary
  • Assist the Workplace team with processing facilities requests and providing backup support for other roles within the team as required e.g. stocking areas with stationery and amenities.
  • Be proactive in ensuring a clean, tidy and well-presented work environment (reception, mailroom and guest meeting rooms) for all employees;
  • Full responsibility for administrative tasks, e.g. updating databases
  • Fulfilling requests for internal services including Guest Wi-fi, catering, temporary staff passes, meeting rooms and jailbreaking (lockers, cabinets etc).
  • Perform general office administrative tasks such as creation of word documents, spreadsheets, publications, and signage for the office

  
  
You’ll be successful in this role if you have:
  
  • Demonstrable Corporate Services and reception experience
  • Experience coordinating people and building requirements
  • Professional presentation
  • Ability to maintain a high level of confidentiality
  • A drive to provide exceptional customer service
  • High attention to detail
  • Good communication both written and verbal
  • Intermediate Microsoft Office skills (excel, word, PowerPoint)
  • The availability to work Monday – Friday
