The Role:
We are seeking an experienced Property Management Administrator to join a team of six. The role is a 12 month Maternity Leave contract commencing mid January. The role will involve the following key tasks and responsibilities:-
- Lease Renewals as required including issuing of CMA, reminders to owner and tenants, issue of Priority 4 Documents. Assist with coordination of Smoke Alarm Inspections in line with current legislation for all lease renewals.
- Ensure Pool Safety Certificates are current and held in line with appropriate legislation
- Schedule monthly routines in line with geographical requirements and property manager daily activities as required
- Marketing/Advertising of new and current properties for lease to all internet portals as required
- Assist Leasing Consultant with viewings and processing of applications as required. Assist Property Manager with routines as required.
- Landlord insurance tracking – ensure copies of current policies are held in office
- Assist with coordination of maintenance tasks
- Assistance with invoicing and entering invoices into Console
- Water Invoicing
- Set up of new properties, tenants and owners in Console following standard procedure
- Prepare Tenant Sign Up packs, New Management packs and Vacate packs
- Coordination and tracking of Rate My Agent Reviews for new tenancies
- Assemble files for new managements with Business Development Manager including tagging and copying of keys
- Provide administration support to the Property Managers / BDM / Leasing Consultant where required
- Ensure effective development, implementation and maintenance of systems or projects as required.
- Ensure checklists, letters, forms and systems are being used correctly.
- A sound understanding of the Property Occupations Act 2014, Residential Tenancies and Rooming Accommodation Act, Privacy Act, Anti-Discrimination and any other relevant Acts.
- At least 12 months experience working in a Property Management position
- Retain a current Queensland Drivers Licence and Real Estate Salespersons Certificate
- Excellent understanding of Console software, Inspect Real Estate, Filesmart
