The Opportunity
  • Permanent, full-time

  • Assist with the coordination and administration of 13cabs executive office and special projects
Our 13cabs Head Office in the South-Eastern suburbs is seeking an organized and pragmatic self-starter to join them as Executive Assistant and Project Coordinator to COO, Taxi Networks.
In addition to providing general EA services to support the daily activities of the COO, the successful incumbent will play an integral part in the organisation, coordination and communication of projects being undertaken by the COO office and leadership team.

Key Duties
  • Assist with the collation of status reports, external vendor management liaison and other PMO related duties
  • Support the COO in all organisation and administrative activities including:
    • Diary management and travel
    • Meeting agendas and minutes
    • Expense processing and reporting
    • Ensure correspondence is of high quality
    • Information and file management integrity
    • Coordination of business and employee reviews
  • Collate team material to ensure weekly, monthly and quarterly reports are completed per schedule
  • Partner with other assistants and key stakeholders to achieve a harmonious spirit across the organisation
  • Assist with the project management and execution of communication platforms for the business
  • Coordinate, plan and undertake administration and project coordination of special projects in relation to the delivery of outputs for the network.

Essential Requirements
Key to success in this role is an ability to manage competing priorities with strict deadlines and a high-level of comfort engaging and collaborating with a variety of stakeholders across various platforms. This role would be suited to an adaptable, customer-service driven individual with experience in project coordination, office management or team assistance gained in a fluid/start-up environment.
Additionally, they will have:
  • 3+ years’ experience in a similar role providing support to Senior Management
  • Advanced MS Office skills and a strong understanding of database systems
  • Mastery of written communication both technical and tone
  • Ability to think quick on your feet to get things back on track quickly, problem-solving skills are a must
  • Experience navigating constantly evolving and sometimes ambiguous situations
  • Tertiary qualifications in Business Administration, Humanities or similar (desirable)
