Requirements
  • Exposure within the property management/ investing and leasing space
  • 2-3 years administration experience
  • Have a good understanding of the property and legal terminology
  • Be open minded and happy to get involved in the tasks required
  • Have a positive and fun attitude to daily work life

Responsibilities
  • Answer landline/ door and direct calls/ taking messages/ seat visitors
  • Co-ordinate and organise team meetings/ outings
  • Take accurate meeting/ onsite minutes
  • Monitor and order stock for the office; water, alcohol, snacks
  • Manage calendar for Director/ GM, sending reminders of daily meetings
  • Order stationery, necessary printing related equipment
  • Courier bookings/ mail collection and/or deliveries
  • Coordinate and manage Director’s personal cars as well as the company fleet; registration, insurance renewals, WOF, repairs
  • Schedule meetings as per requests
  • Data entry and schedule upkeep
  • Read meters and provide results to Accounts/ opening and closing power accounts for Property Managers, keep schedules of ICP numbers etc
  • Manage office related invoices and liaise with Accounts
  • Manage Dropbox, MailChimp, group website, set up for new employees, general IT related tasks, point of contact for phones and cars
  • Draft legal documents ie. Leases, licensing agreements
  • Assist with setting and implementing processes for smooth running of the office
