Operations Manager 
Permanent, Full Time  
8am – 5pm (40 hr week – 1hr lunch break) 
Circa £ 30’000  (depending on experience) 
This is a new and exciting opportunity for our client who has recently moved into their purpose-built office in Newbury. The successful candidate will be responsible for organising back office operations, linking the warehouse and the sales office. This includes all purchase ordering from UK suppliers as well as imports from the parent company in Italy and various other foreign suppliers. You will manage the trade counter and the visitor / customer walk ins for product orders and collections.  
  • Managing daily operations within the trade counter, the link between sales office and warehouse – a customer facing role. 
  • Organising sales orders and collections, through the trade counter, from the clients state of the art new premises in Newbury. This includes managing the trade counter layout of which is new. 
  • Liaising with the warehouse team on stock levels and daily warehouse operations in order to fulfil daily dispatch requirements. 
  • Organising and leading stock order purchasing from the parent company in Italy (imports). This includes forecasting with an understanding of historical ordering trends and updating/control of re-order levels to maintain optimum stock levels throughout the year. 
  • Organising and leading stock order purchasing from our UK suppliers. 
  • Organising and leading stock order purchasing from smaller foreign suppliers. 
  • With all stock ordering, the new Operations Manager will be the link between the warehouse and the sales office in maintaining communication of when stock arrives and stock allocations. 
  • Liaise with third party courier companies with any customer service enquiry such as chasing timed or lost deliveries and providing an excellent level of customer service. 
  • Management and organisation of the returns department; taking delivery of any returned product and processing the return with the returns database. This will require liaising with the customer and potentially with the sales and technical staff for you to accurately manage the returns request. 
  • In dealing with product returns, the operations manager will be the lead role in communication with the customer throughout the returns process of receiving, testing, reporting and final action. 
  • Managing warehouse clean-up operations on a weekly basis. 
  • Managing stock take procedures which are quarterly requirements but often done monthly.  
  • Managing the internal sales ordering process in terms of Sage Line 50 – leading product descriptions, prices and warehouse location accuracy. 
  • A light responsibility, but working with the sales team, you will occasionally be required to liaise with suppliers on a negotiation front in terms of maintain the best possible purchasing price and keeping the team updated on product changes and product updates. 
  • You will manage PPE within the warehouse and be a Health and Safety point of contact, understanding risk assessments based around the warehouse and the work that is done within the warehouse in order to maintain Health and Safety compliancy.  
  • Working closely with the sales office, you will manage back orders. The process of dispatching goods for orders that were part shipped previously due to stock discrepancies. When new stock arrives, back orders must be covered and processed for complete order fulfilment. 
  • You will need to demonstrate an organised and methodical approach to your work. 
  • You will need to demonstrate the motivation to learn the technical skills and aptitude to be confident with the product range, for which full training will be provided. 
  • You will be able to prioritise your workload as well as working alone on occasions with a forward-thinking approach to securing a smooth day to day operation of your responsibilities. 
  • You will work closely with your colleagues in the warehouse and the internal and external sales teams in order to maintain optimum stock levels and plan for your stock ordering. 
  • You will be required to build strong relationships with suppliers and customer alike to maintain our focus of customer service and quality. 
  • You will provide an excellent level of communication with suppliers and pass certain information accurately and promptly to the sales, warehouse and occasionally to the finance team in relation to stock orders or purchase order processing. 
  • You will work closely with the General Manager and become the main point of contact for purchase ordering and warehouse operations outside of daily dispatch. 
Person Specification 
  • A minimum of three years’ experience in general office environment 
  • A minimum of three years’ experience in a similar operations / purchasing ordering role. 
  • Full clean UK driving license 
  • Exceptional organisation, planning and administration skills 
  • Ability to work flexibly in a small team, building strong day to day relationships with colleagues 
  • Experience using Sage Line 50 or similar Sage products 
  • Experience in managing people
