Office Manager/Executive Assistant – International Bank
Coral Gables, Florida
 
Our client, and international bank, has engaged ttg to find their next Office Manager/Executive Assistant.
We are looking for a self-motivated, detail-oriented office manager, who will also support the General Manager and Senior Management team.  The role allows for interactions with key internal and external stakeholders including high net worth customers. The role is fast paced with full of challenges and will enable the individual to have exposure to many areas of the organization.  This position requires excellent English and Spanish skills, written and oral, as you will be interacting with international clients.
 
Responsibilities include, but not limited to:
  • Ability to multitask and function independently.
  • Maintenance of calendars; coordinating internal and external meetings.
  • Office administration including supplies and others.
  • Strictly maintain confidential and sensitive information in a discrete manner.
  • Exhibit outstanding interpersonal skills, including the ability to work with all levels of organizations to meet goals and develop strong working relations with internal and external business partners.
  • Providing small-scale project management support as needed.
  • Successfully maintaining a conscientious approach to tasks with the ability to meet deadlines, anticipate needs, and be proactive in order to mitigate potential issues.
  • Prepare Agendas and prepare meeting Minute of Understanding and notes for committee meetings
  • Represent the Management team in a professional manner at meetings and other corporate
  • Serve as a liaison between the management team, outside vendors, department heads, and employees
  • Conduct research on behalf of the Management team.
  • Sends and receives correspondence on behalf of the Management team.
  • Provide support in planning company events.
Qualifications:
Required Skills/Experience:
  • 5+ years of experience performing administrative support
  • Ability to manage confidential information and being discrete are must
  • Advance Microsoft Outlook Calendar, MS Excel, PowerPoint, MS Word
  • Experience conducting meetings using Robert’s Rules of Order highly desirable
  • Strong follow-up and problem resolution skills
  • Ability to interact with other areas of the bank
  • Strong attention to details
  • Banking experience - preferred
  • Strong organizational and time management skills
  • Strong written and verbal communications skills
  • Bilingual English and Spanish – required
Education:
  • AA or bachelor’s degree – preferred in Business Administration, Accounting, Finance, or a related field.
