What You'll Do:

As the Executive Assistant to these Executives, you will have an expansive impact across the organization with a front- row seat to the inner-workings of this new venture. This is a strategic partnership with the Leadership Team that requires engagement at the business level, thoughtfulness, confidentiality, a supreme bias towards action and a passion for helping others. Each Executive is located in different locations across the US (Los Angeles, New York, and Northern California). This hire will need to be able to work in the Menlo Park office to insure team success at HQ.  

The ideal Executive Assistant will possess many different skills and characteristics but crucial ones for this role are pro-activity, integrity, ingenuity, time management, and the willingness to go the extra mile. Each Executive has different needs, see breakdown below:
  • Support the team, including heavy calendar management and prioritization, travel (heavy domestic, international, and extremely remote locations ), expense reports, vendor management, and any other tasks needed to maximize team productivity.
  •  Identify processes that are inefficient, anticipate needs and understand workflow.
  • Partner with your team to track key project milestones as well as progress against personal, team, and company goals/targets.
  •  Make recommendations for your Executives regarding their time management, prioritization, delegation, and organization. Including proactive management of internal and external stakeholders requests for time. 
  • Represent the team via email and phone with internal and external stakeholders including investors, BOD members, clients, prospects and C-level executives and other partners.
  • Help EA team in planning off-sites, team-building events and quarterly BOD meetings. Take on additional responsibilities as business needs grow and be a key partner on special projects as needed, as you will be a key stakeholder in both confidential and high-visibility projects.
  • Manage high caliber clientele with ease, need to be extremely sensitive with confidentiality. 
  • Build cross-functional internal relationships, representing the organization with positivity and warmth, including partnering closely with other executive leaders.
  • Partner with EA team across the organization to ensure seamless communication and coordination of key meetings.  
  • Act as a ‘culture carrier’ within the organization and continuously help cultivate and evolve the culture.
What you'll have:
  • You have 7+ years of direct Executive Assistant experience to a C-level Executive within a fast-paced, growing office environment.
  • You are service-oriented and enjoy providing white glove service.
  • You are focused and take pride in your work.
  • You have a high-growth mindset with a focus on performance.
  • Strong preference for PowerPoint experience. You will be working on pitch and presentation decks for the Executives. 
  • You are a quick learner, agile, self-driven, have an action- oriented attitude and hold yourself accountable.
  • You value honesty and integrity and hold your executive and team to the same standard.
  • You are a direct communicator and driver when it comes to getting your work done.
  • You have stellar verbal and written communication skills.
  • You are organized and detail-oriented with a passion for creating order out of chaos.
  • You can easily handle stress and you are unflappable.
