Part-time (20 hours per week) office administration

OFFICE ADMINISTRATOR – Surrey – PART TIME Community is at the heart of who we are at Parkbridge.  Together with our homeowners, resort guests, and local municipalities, we share a passionate belief in the value of building vibrant communities.   We currently have an opening for an Office Administrator for 20 hours per week at our Surrey location.  
 
ESSENTIAL DUTIES:
  • Assist with administration of invoices, expense claims and other internal forms as required
  • Preparing, administering and monitoring spreadsheets for utilities and home sales tracking throughout the portfolio as required; assist in the preparation of other reports as required
  • Assist with travel arrangements as required
  • Organize regional level meetings (agendas, meeting rooms, catering, accommodation)
  • Administer office Health and Safety programs
  • Commercial lease administration
  • Provide general support to visitors
  • Administrative support backup for communities as required
  • Handling outgoing and incoming mail, couriers’ packages, and Registered Mail as required.
  • Maintain and monitor office supply inventory levels and place orders as required
  • Administer office services such as janitorial and access systems
  • Projects as required
 
EDUCATION and/or EXPERIENCE: 
  • 1 – 2 years administration experience
  • Is able to maintain a high level of confidentiality
  • Strong organizational and time management skills
  • Excellent knowledge of Microsoft Office
 
SKILLS & ABILITIES: 
  • Strong skills utilizing the Microsoft suite of programs, particularly Microsoft Excel
  • Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
  • Strong written communication skills a requirement
  • Professional, responsive, and positive work attitude
  • Previous experience in handling confidential or sensitive information; knowledge of applicable data privacy laws.
  • Able to maintain filing systems and basic databases
  • Excellent problem solving, critical thinking and organizational skills; self-motivated
  • Willing to travel between properties occasionally
