This role is responsible for the development of property operations programs including policies, processes and program management.

PROGRAM MANAGER, PROPERTY OPERATIONS – WASAGA BEACH, ON

This role is responsible for the development of property operations programs including policies, processes and program management which support Parkbridge’s annual business cycle and strategic plans.  Initiatives may range from policy roll-out to full system/program implementations.

Areas of program management include:
  • Evaluating, maintaining and updating National Residential and National Resort Standards.
    • o Making recommendations for new or updated standards, liaising with Property Operations Regional Managers and Directors
  • Designing, documenting and maintaining effective tools and processes to support and drive performance of the Property Operations portfolio in conjunction with other functions
    • o Online customer portals (residential and resort)
    • o Preventative maintenance scheduling
    • o i.P.s
    • o Home resale process (new & used)
    • o Resort unit sale process
    • o National purchasing program adoption
    • o New processes/procedures as identified and prioritised
  • Rent Manager initiatives management, workflow mapping and analytics
    • o Program management of the Rent Manager system including project management of additional modules, additional workflows, guidelines
    • o System administration
    • o Training and adoption
  • Standard lease and license management
    • o Working with Directors, Property Operations to make recommendations for updates and changes to standard documents, and acting as a liaison with internal and external legal counsel as required
  • Represent Property Operations in projects as required
    • o Enterprise Document Management Project (Fetch)
  • Understanding of best practices in property management
Program Management/Project Management Duties:
  • Project Management & Execution
    • o Project planning and management: translates business and product goals into a detailed, feasible plan of action for the entire project cycle; drives execution of that plan to ensure project success.
    • o Risk management: able to foresee risks and develop mitigation and contingency plans.
      Drives communication within the team and with external groups; effectively communicates project status regularly to all interested stakeholders.
    • o Collaboration: works with stakeholders to balance product scope and quality against available resources and time, understands the business impact of product quality; helps drive decision-making on product scope.
    • o Problem-Solving: prioritizes issues and applies creative problem-solving skills; develops solutions to address root causes of problems so they do not reappear.
  • Planning, scoping:
    • o Project management: work with the Business Sponsor and SMEs to build an overall project schedule and define project objectives, based on the work to date and business strategy;
    • o Monitor and report status during the project lifecycle.
  
  • Requirements Gathering:
    • o Facilitation of user needs and goals, business and functional requirements planning, and scoping sessions;
    • o Support the planning of the project by defining scope of processes to be reviewed and establishing objectives, deliverables and a project plan;
    • o Engage customers, business SMEs and stakeholders to collect and document detailed business requirements;
    • o Analyze business and functional requirements against existing processes, systems and data needs in order to provide high level solution design sketches;
    • o Conduct work sessions and user interviews to obtain appropriate information to develop solutions (e.g. one-on-one discussions, formal requirements gathering sessions, etc.);
    • o Design / document processes and following Parkbridge standards for documentations;
    • o Define and document standard reports which includes: name of report and high-level fields, features and objectives for each report.
  
  • Solution Delivery:
    • o Preparation and maintenance of project implementation plan;
    • o Ensure required resources are in place;
    • o Conduct meetings with third party vendors, verify needs, provide gap analysis and recommendations;
    • o Test and deploy solution received from developers/partners;
    • o Conduct user acceptance sessions with end users before deployment;
    • o Manage deficiencies with vendor and provide resolution;
    • o Program roll-out and tracking.
  • Documentation:
    • o Design or document business process flows;
    • o Document detailed business requirements;
    • o Document standard operating procedures (SOP);
    • o Design and / or document report mock-ups, including detailed designs of the reports;
    • o Preparation of communication/stakeholder engagement plan;
    • o Preparation of training materials/plan;
    • o Ensure final documentation has been reviewed before rolling out to end users.
  • Training/Adoption:
    • o Preparation and / or participation in creation of end user training materials;
    • o Running user training sessions;
    • o Ongoing user support/training;
    • o Evaluation and planning for ongoing system upgrades;
    • o Ongoing audit/reporting for adoption and improvement opportunities.
  • Communication:
    • o Weekly communication and checkpoints with sponsor and stakeholders;
    • o Check-in with project participants to identify issues with reaching milestones. Escalate issues as required to appropriate sponsors.
QUALIFICATIONS:
  • Bachelor's degree in related field.
  • 5-10 years of project management experience
  • Must have a strong understanding of business application software and support processes and a willingness to maintain, train and improve those processes.
  • Must be able to create professional and appropriate documentation.
  • Excellent written and verbal communication skills.
  • Exceptional critical thinker and problem solver. Ability to work with the business and understand their needs.
  • Proven ability to multitask and prioritize in a fast-paced environment.
  • Team player with a positive attitude and strong interpersonal skills.
  • Proficient in Excel, Word, PowerPoint and Visio
  • Experience with Microsoft Dynamics GP, and/or SharePoint would be an asset.
  • Experience with business analytics and/or Enterprise Document Management would be an asset
